InstaTech (“we”, “us”) runs two repair and accessories shops in central London and the website instatech.uk. This policy explains what personal data we collect, why, and what your rights are under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What we collect and why

Repairs

When you bring a device in or book a repair we record your name, phone number, email address, the device make and model, the fault and the work done. We use this to carry out the repair, contact you when it is ready, honour your warranty and keep the records a business is required to keep. Online bookings are handled through RepairDesk, our repair management system, which stores booking details on our behalf. If a repair needs us to access your device, we do so only as far as the job requires and we do not copy your personal files. You are responsible for backing up your data before a repair.

Buying and selling devices

When we buy a used device from you we record your name, address and a form of photo identification, and the device IMEI or serial number. We do this to comply with our legal obligations to check that goods are not stolen and to keep an audit trail. We keep these records for the period required by law.

Online shop

When you buy from our online shop we collect your name, billing and delivery address, email, phone number and order details so that we can fulfil and deliver your order, take payment and handle returns. Card payments are processed by our payment provider; we never see or store your full card number. If you create an account we store your login details and order history so you can manage your orders.

Contact forms, email and WhatsApp

If you message us through the site, by email or via the WhatsApp chat button, we use the details you give us to reply. WhatsApp messages are also processed by Meta under its own privacy policy.

Newsletter

If you opt in to our newsletter we store your email address with our email provider (Mailchimp) and use it only to send you our updates. Every email has an unsubscribe link.

Website analytics and cookies

We use Google Tag Manager and Google Analytics to understand how the site is used, for example which pages are visited and from which devices. This uses cookies and similar technologies. Our hosting and caching software sets technical cookies that are needed for the site and the shopping basket to work. You can block or delete cookies in your browser settings; the site will still work but the basket and login may not.

Our lawful bases

  • Contract: repairs, bookings, purchases and deliveries.
  • Legal obligation: identification checks when buying used devices, tax and accounting records.
  • Legitimate interests: replying to enquiries, preventing fraud, keeping the website secure, and basic analytics.
  • Consent: the newsletter and non-essential cookies. You can withdraw consent at any time.

Who we share data with

We share personal data only with the service providers we need to run the business: RepairDesk (bookings and repair tickets), our WooCommerce payment provider (card payments), our courier for deliveries, Mailchimp (newsletter), Google (analytics), Meta (WhatsApp), and Hostinger, which hosts this website. Each acts under a contract that limits what they can do with your data. We may also disclose data where the law requires it, for example to the police in connection with stolen goods. We do not sell personal data.

International transfers

Some of the providers above process data outside the UK. Where they do, the transfer is covered by the UK International Data Transfer Agreement, UK adequacy regulations or equivalent safeguards.

How long we keep data

  • Repair and warranty records: 6 years from the repair, so we can honour warranties and meet accounting requirements.
  • Device purchase records and ID checks: as required by law, then deleted.
  • Online orders and accounts: 6 years from the last order for tax records, or until you ask us to close your account.
  • Enquiries: up to 12 months after the last contact.
  • Newsletter: until you unsubscribe.

Your rights

You can ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or transfer it to another provider. To do any of these, email info@instatech.uk. We will respond within one month. If you are unhappy with how we handle your data you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Security

The website is served over HTTPS. Repair records, orders and customer details are held in access-controlled systems and only staff who need them can see them.

Children

Our services are for adults. We do not knowingly collect data from anyone under 16 without a parent or guardian.
